Protect Guest Contact Details at Gala Check-In

The check-in privacy problem

Gala check-in may involve temporary staff, volunteers, and shared devices near the entrance. Guest records can include donor contact details, employer records, ticket fields, and payment fields.

A hidden field is still a field. If a browser receives email or phone data and the interface only hides it, the data remains available through browser tools.

Server-side redaction keeps contact details off Staff devices

Vantage removes email address and phone number on the server before a Staff check-in device receives the guest record. The device never receives those fields, so there is nothing to hide.

The redaction is always active for Staff. There is no setting to switch it off or switch it on, so organizers can plan door access around a consistent boundary.

What Staff see at check-in

Vantage Staff see the guest's full name, employer name, employer address including city, state, and postal code, the guest's own postal code, ticket and payment fields, the event, and check-in status. Employer, employer address, postal code, ticket, and payment fields reach Staff because the redaction removes only email address and phone number.

This gives door staff the record needed to find guests and confirm arrivals while keeping guest contact details off the check-in workflow.

Roles control broader account access

Vantage has three assignable roles: Admin, Manager, and Staff. A separate Super Admin role exists only for Vantage support across accounts.

Admin and Manager see the full guest record, including email address and phone number. Manager sees every event in the account. Staff is the check-in role and receives server-side contact redaction in every Staff session.

Assign door volunteers the Staff role before doors open. Every check-in device they use for that event follows the same redaction boundary.

Kiosks show first name and last initial

The Vantage self check-in kiosk displays the guest's first name and last initial. Guests can find their own record while the person next in line sees less identifying information.
