Check-In Guide

Use Check-In to scan tickets, record attendance, review headcounts, and track complete scan-in and scan-out times.

Set Up Your Door

Open your event and choose Check-In. Then pick the stop where staff will scan. Give each staff member a logged-in device with a camera. Lock a staff role to one assigned event when needed. Use Mark-by-Name when a registrant doesn’t have their QR code. Search for the person, tap their record, and mark them checked in.

Each registrant has a personal QR code on their ticket. Each scan records the person, the time, which staff member scanned them, and the stop in the attendance records. On every plan, staff roles always use API-enforced contact-info redaction: door staff see the guest's name and check-in status, never email or phone.

Scan at Each Stop

Point the device camera at a registrant’s ticket QR code to record check-in. When your event has multiple stops, choose the correct stop before scanning. Review the stop on each scan so a tour or multi-stop event keeps a headcount for every stop instead of one blended number.

When a location fix is available, the scanner device’s GPS attaches to the scan. The location represents the scanner and door, not the attendee’s phone. Treat the geofence as advisory. Scans outside the expected radius receive a review flag instead of being blocked.

Check the Door Hub

Open the door anomaly card in the hub to review unknown codes, duplicate scans, and scans against the wrong event. Treat a failed lookup as a failure rather than marking the person as not on the list. A network failure does not identify a person as a gatecrasher.

Open the attendance records to review who checked in, when they checked in, which staff member scanned them, and which stop recorded the scan.

Record Scan-Out

Use the scan-out action to create a departure record for a guest. Use the Undo check-in action only to correct a mistaken check-in. It is not a departure record.

The duration appears only when both scan-in and scan-out stamps exist. A missing scan-out leaves the duration blank rather than inferred or estimated.

Keep Checking In Without Signal

If the connection drops, keep checking guests in. The QR scanner, Check-In by Name, the event's guest list and Contacts each save the check-in on the device, with the time it happened. A banner at the top counts the check-ins waiting, and Vantage syncs them when the connection returns. If Vantage can't accept a check-in, for example a registration still awaiting approval, the banner shows "Not checked in:" with the guest's name and the reason.

Plans and Limits

Check-in, multi-point headcounts, durations, and anomalies are available on every plan. Registrant caps set the practical event limit: Free supports 250 registrants, Growth supports 500, Pro supports 2,000, and Business has no registrant cap.

Common Questions

Can I scan multiple stops?

Yes. Add multiple stops to the event and select the correct stop for each scan.

Can staff find someone without a QR code?

Yes. Open Mark-by-Name, search for the registrant, tap the record, and mark the person checked in.

Where can I review attendance?

Open the attendance records to review check-ins and scan details.

What does a blank duration mean?

A blank duration means the record lacks a scan-out stamp.

What does Undo check-in do?

It reverses a mistaken check-in. Scan-out records departure.
