FOR THE TEACHER WHO HAS TO COUNT TWENTY-FOUR KIDS, OFTEN, FAST

All 24 accounted for. In 30 seconds.

Tap Start Headcount on your phone. Scan a QR badge as each kid walks past, or type the name if a badge is torn. The counter ticks 22, 23, 24. Green check, confetti, chime: every student is with you. Optional SMS goes to every guardian the moment their kid is counted at the museum, before lunch, on the bus home. Works in airplane mode.

Built for K-12 teachers, summer camp counselors, scout leaders, sports league managers, and childcare directors. Anywhere a responsible adult has to be sure every kid is still with the group.

Other platforms ask you to plan the trip. Vantage helps you survive it.

Most field-trip software was built for a pre-planned itinerary with named stops.

The teachers running real field trips already know the trip never goes to plan. The bus pulls up at a different gate. The class splits into two groups at the museum. The unscheduled bathroom break adds fifteen minutes. The parent volunteer takes early-pickup kid to the office, and the teacher does not find out until the bus is rolling.

What teachers need is not an itinerary tool. They need a way to ask "is everyone here right now?" and get a definitive answer in thirty seconds, anywhere, anytime, with or without cell service.

Vantage was built for that moment. Tap Start Headcount, scan or type, watch the counter tick to twenty-four. Confetti. The teacher exhales.

You are not buying event software. You are buying back the moment when every kid is accounted for.

Headcount on demand, anywhere. Optional SMS to guardians at every milestone. Late arrivals and early pickups handled automatically. Audit trail per kid, per scan, per staff member. Works offline at the museum, on the bus, on the playground at the end of recess.

THE 30-SECOND HEADCOUNT

Tap. Scan. Counter ticks. Green check. Done.

No predefined stops. No required configuration. Vantage learns the trip's structure as you live it.

1

Tap Start Headcount

Anywhere, anytime. Museum entrance, before lunch, climbing back on the bus. The phone snapshots who is currently with the trip.

2

Scan or type

Phone camera scans QR badges as kids walk past. Badge torn or missing? Type the name. A live list shows who has not been counted yet.

3

Counter ticks

22, 23, 24. Progress ring fills. The instant every student is accounted for: green check, confetti, chime. The teacher exhales.

4

Tap Complete

Optionally name the moment ("Bus boarding," "Museum departure"). Toggle on guardian SMS. Every parent gets a text the moment their kid was counted.

WHY VANTAGE

Built for the teacher whose phone has to be the most reliable thing on the bus.

Each pillar names a specific capability and the moment of the trip it earns you.

1.

Headcount, not turnstile.

Other platforms make you toggle each student in and out at every stop. That model breaks the moment one kid runs past your scanner. Vantage takes a complete poll: every round is a fresh "who is here right now?" Skip a kid by accident, the next round catches them. Late arrival joins, the next round counts them. Early pickup leaves, the next round drops them. Your math always reflects reality, not the last toggle.

2.

Optional guardian SMS at every milestone.

Toggle on per headcount. The teacher names the moment ("Museum departure," "Lunch start," "Bus boarding"). Every guardian gets a text: "Hi Sarah, Jake was just counted at Museum departure for Lincoln Elementary Field Trip." Multiple guardians per kid, opt-in, with STOP keyword built in for compliance. The parent who used to wonder where their kid was at 11:14 AM gets a text instead.

3.

Works zero-bars. Offline-first PWA.

Phone in airplane mode at the bus stop? Scans queue locally and sync the moment cell service returns. The whole headcount flow runs offline. No "internet required" disclaimers. No lost data on the museum basement floor where the cell signal goes to die.

4.

Late arrivals and early pickups handled automatically.

A student who joins late just checks in and appears in the next headcount, no false-missing alarm. A guardian picking up early triggers a checkout, removing that kid from later headcounts, no false-missing alarm there either. The platform tracks who is supposed to be with the group right now, not who started the day.

5.

Audit trail per student, per scan, per staff member.

Every scan timestamped with the staff member's name. Every guardian SMS logged with the message and the response. If a question ever comes up about where a kid was at 11:14 AM, the principal pulls the audit trail in two clicks. The trip leader stops being the only memory of what happened in the museum gift shop.

6.

Free tier for PTAs, classrooms, and student orgs. Forever.

CSV roster import. QR badge printing. Headcount on demand. Optional SMS. Audit trail. All on the free tier, with no credit card and no expiring trial. Paid tiers exist for districts running multi-school logistics or ticketed fundraisers at scale, with nonprofit-tier pricing on those tickets.

From the roster import to the bus pulling back into school, mapped headcount by headcount.

The five rounds every field trip runs. Two very different days.

Moment Without Vantage With Vantage What you earn
Bus boarding, school Paper roster, parent volunteer crossing names off with a pen, hoping no kid wandered to the bathroom mid-count. QR scan onto the bus. 24 of 24 in 28 seconds. Optional SMS to guardians: "Jake just boarded the bus." A definitive count before the bus rolls.
Museum entrance "Please stay together." Headcount-by-shouting in the lobby. Maybe right, maybe one short. Tap Start Headcount, scan as kids walk through the turnstile. 24/24, green check, the teacher exhales. Every kid in the building, confirmed.
Before lunch Class splits to two groups, count happens at lunch tables, miss the kid who is still in the bathroom. Headcount before lunch in 30 seconds. The list of who has not been counted shows the kid in the bathroom. Teacher walks to the bathroom, kid joins, count completes. No kid eats their lunch alone in the bathroom.
Bus boarding, departure "OK is everyone here? Anyone seen Jake?" Headcount stretches to ten minutes, bus departs late. Tap Start Headcount on the way out of the museum. Counter ticks. 24/24 before the door of the bus closes. Bus rolls on time, no missing-kid panic.
School arrival Parents at pickup wonder where their kid is. Teacher takes ten minutes calling each guardian to confirm. Final headcount at the school. Optional SMS to every guardian: "Jake is back at Lincoln Elementary, safe." Pickup runs in eight minutes. Every parent knows their kid is back, in real time.
SIGNALS

The signals every trip leader wishes they had.

Every insight below answers one question: does this protect a kid, save a parent worry, or make the next headcount finish faster? If we cannot answer that, we do not build it.

01 · MISSING LIST

A live list of who has not been counted yet.

Tap any name to surface the kid's photo and seat assignment. The teacher sees who is missing instantly, instead of recounting from the start. Two taps to mark a kid as "verified, off-trip" if a guardian picked them up early.

02 · ALL-GREEN MOMENT

The instant every student is accounted for.

Confetti. Chime. Big green checkmark. "All 24 accounted for." That is the moment the teacher exhales. Built in deliberately so the relief signal arrives the instant it should, not three taps later.

03 · OFFLINE QUEUE

Scans that survive the museum basement.

Every scan is captured locally on the device. The progress ring updates whether or not the phone has cell service. The moment the bus rolls back into a signal area, every queued scan and every guardian SMS fires.

04 · LATE ARRIVAL

A kid who joined the trip late, slotted automatically.

Kid joined the bus at the second pickup. Scan their badge once. Vantage adds them to the active roster, and they appear in every headcount from that moment on, without a manual override.

05 · EARLY PICKUP

A guardian-verified pickup, removed from the count.

Mom picked up at the museum because of an appointment. The teacher logs the pickup with the guardian's signature on the phone screen. The kid drops off the active roster, and the next headcount shows the right number, no false-missing alarm.

06 · AUDIT TRAIL

Every scan, every SMS, every staff member, timestamped.

If a parent asks where their kid was at 11:14 AM, the principal pulls the audit trail in two clicks. Every event the kid joined, every headcount they were counted at, every guardian notification that fired. Multi-tenant data isolation: one district cannot see another's records.

A SCENE FROM THE MUSEUM EXIT

The headcount that caught the boy in the bathroom.

Twenty-three kids on the way out of the museum.

The headcount said 23 of 24. Jake's name was at the bottom of the missing list.

The teacher did not have to count again. The phone already knew.

She walked back into the museum, found Jake at the bathroom sink washing his hands the way every eight-year-old washes hands, and walked him out.

The bus left two minutes later than planned. Every kid went home.

Without the phone, the count would have been "I think we are all here." The bus would have left. Jake's mother would have gotten the call.

The teacher is still teaching that class.

Illustrative scenario. Vantage takes a complete poll of every active student per headcount and surfaces the missing list in real time. The trip leader makes every judgment call.

WHO IT IS FOR

Anywhere a responsible adult has to be sure every kid is still with the group.

K-12 SCHOOLS

Field trips, sports travel, after-school programs, and the unscheduled fire drill on the playground. The wedge is the third-grade museum trip; the platform fits everything around it.

SUMMER CAMPS

Daily activity rotations, off-site excursions, lake-day trips. Headcount at every transition without slowing the day down. Counselors stop being the bottleneck on safety.

SCOUTS & YOUTH GROUPS

Overnight trips, mission trips, hikes, service days. The audit trail satisfies the parent organization. The offline-first flow survives the actual hike.

SPORTS LEAGUES

Tournaments with travel rosters, multi-day events at neutral fields, late-night returns from regional games. Every athlete on the bus, on the field, and off the bus, accounted for.

CHILDCARE CENTERS

Playground transitions, off-site visits, end-of-day pickups. Every transition is a headcount. The state inspector sees the audit trail and goes home.

AFTER-SCHOOL PROGRAMS

Clubs, robotics teams, debate squads, theater rehearsals. Headcount at arrival, at transitions, at pickup. Guardian SMS at the moment their kid arrived, before the call asking where they are.

BEFORE YOU ASK

Before you ask, here is what other teachers asked.

"What if a kid loses their badge?"

Type the name. The headcount UI has a search field next to the scanner. Three letters in, the kid's name surfaces. Tap to count. The badge is a convenience, never a blocker. We tested this on field trips where badges arrive in pockets, on lanyards, in backpacks, in cafeterias, and in the bottom of buses. Type-name fallback is always one tap away.

"What about cell service at the museum or campsite?"

The whole flow runs offline. Phone in airplane mode, scans queue locally, the progress ring updates the same way. The moment cell service returns, scans sync and any opted-in guardian SMS fires. We test on actual airplane-mode phones for every release. No "internet required" disclaimers.

"What about kids with multiple guardians?"

Each student record can have multiple guardians, each with their own SMS opt-in and phone number. STOP keyword unsubscribes any single guardian without affecting the others. Custody arrangements are honored: only the guardians a school admin has approved for that kid get notifications. The setup happens once when the roster is imported.

"Will the data leave the platform or be sold?"

No. Student data is never sold, rented, or used for advertising. Never used for model training. Multi-tenant data isolation, encryption at rest, audit log of every access. No data leaves the platform unless your school admin explicitly exports it. We document the posture in a one-page brief your district IT team can hand to the superintendent.

"How does setup work?"

Three steps. Create a Field Trip event in Vantage. Import the student roster from a CSV (with optional guardian contact info). Print QR-coded badges. Total time: about ten minutes for a class roster. No predefined stops. No required configuration. The trip's structure gets learned as you live it.

"Is this FERPA compliant?"

Vantage is built FERPA-aligned, with role-based access, encryption at rest, audit logging, and data minimization. Multi-tenant data isolation means one district's data never crosses with another's. School-side compliance still requires your district's own consent, retention, and disclosure policies. The platform-side posture is documented in a brief your district IT can review in one round.

TRUST & SAFETY

The defaults that put the platform on the same side as the kids.

Audit trail per student.

Every event the kid joined, every headcount they were counted at, every guardian notification, every staff member who scanned them. Timestamped, exportable, multi-tenant-isolated.

Multi-guardian opt-in SMS, STOP-aware.

Each guardian opts in independently. STOP keyword unsubscribes any single phone without affecting the others. Custody arrangements honored at the data layer. Compliance built in, not added later.

Multi-tenant data isolation.

One district can never see another's data. No data sold, rented, or used for advertising. No model training on student data. Encryption at rest. Exportable to your SIEM if your district IT asks.
